We process personal data in line with Malaysia’s Personal Data Protection Act 2010 and the Google Play Developer Program Policies.

Your files stay in your Google Drive. The app can open only files you select.
Never sold
We do not sell your personal data or build advertising profiles from it.
AI sees only what it needs
Identifiers such as IC and phone numbers are masked before AI processing.

1. Data we collect
Account and contact details (name, email, phone, photo); profile, education and work history; Google Drive evidence links and their titles and categories; text read from documents you choose to scan or process with AI; training, CPD and e-learning records; Premium status, token balance and transaction references; app activity, crash logs and device information; and support messages. We do not collect card numbers, banking credentials or precise location.
2. App permissions
Camera (only when you open the Smart Scanner), photos and files (only when you pick one), limited Google Drive access (only files you select), internet, and optional notifications.
3. How we use it
To run your account; organise your evidence; provide OCR, E-Learning, CPD and the AI Services you request; process your RM5 unlock and token purchases; share your portfolio only when you choose; give support; keep the Service secure; and meet legal obligations.
4. Who we share it with
Only providers that help run MyPortfolio: Google Firebase and Google Cloud (sign-in, database, storage, crash reports), Google Drive API and Google Sign-In, LinkedIn (if you sign in with it), our AI provider (Anthropic, maker of Claude AI), and our payment partner (Google Play Billing and/or SecurePay). Some providers process data outside Malaysia with appropriate safeguards. We disclose data to authorities only when required by law.
5. Security and retention
Encrypted connections (HTTPS/TLS), per-account access controls and limited Drive permission. Data is kept while your account is active and removed within 30 days of deletion (backups within [90] days). Purchase records are kept as required by Malaysian tax law. We never delete files in your own Drive.
6. Delete your account and data
In the app: Profile → Settings → Delete Account [confirm menu path]. Without the app: email myportfolio.innovation@gmail.com from your registered address with the subject “Delete my MyPortfolio account”. We complete requests within 30 days.
7. Your PDPA rights
You may access and correct your data, withdraw consent, and limit processing (including direct marketing). We reply within 21 days. Your name and email are required to create an account; other details are voluntary, though some features need them.
8. Children
MyPortfolio is not directed at children under 13. Users aged 13 to 17 should use it with a parent’s or guardian’s consent.
9. APEL and evidence disclaimers
MyPortfolio supports evidence organisation and readiness only. It does not award qualifications and does not replace authorised institutions, APEL centres, MQA, JPK, professional bodies or official assessment processes, and is not affiliated with them. You control the sharing settings of your own Google Drive files.

Questions
What is APEL?
APEL is Malaysia’s way of recognising what you learnt through work and life. APEL.A gives entry to a programme, APEL.C gives course credits, and APEL.Q can award a full qualification.
How many years of experience do I need?
It depends on the pathway. APEL.A uses age (19+ for Certificate up to 35+ for Doctoral) plus relevant experience. APEL.C has no minimum but you must be a registered student. APEL.Q needs 5 years (Certificate) up to 25 years (Doctoral). JPK PPT needs 1 year (SKM 1) up to 7 years (DLKM). See “Who can apply” above.
What is free, and what does RM5 unlock?
Free gives you all six modules with limited link storage for Training Records. OCR and AI Services are switched off. A one-time RM5 payment unlocks unlimited link storage, the OCR Smart Scanner, all 8 AI Services and the Premium Member badge. There is no monthly fee.
How do AI tokens work?
Each AI prompt, such as generating an APEL portfolio or checking your CV against a job, uses tokens. Your token balance is shown in AI Builder, and you can top up when you need more.
Does MyPortfolio decide whether I pass?
No. AI drafts and highlights matches and gaps. You review, your advisor guides, and your assessor decides.
Where are my documents stored?
In your own Google Drive. MyPortfolio keeps only the links you add.
How do I pay?
Inside the app. Once your RM5 payment is confirmed, Premium Member status, unlimited storage, OCR and AI Services activate automatically. Token top-ups are also bought in the app.
Can my university or company use it?
Yes. We offer bulk licences for universities, TVET providers, APEL centres and employers. Contact us to discuss a pilot.
How do I delete my account and data?
In the app, go to Profile → Settings → Delete Account. Or email myportfolio.innovation@gmail.com from your registered address. We complete deletion within 30 days. Files in your own Google Drive are never touched. See our Privacy Policy.
